Project Coordinator

Summary

This is an exciting fulltime opportunity for someone who is interested in enhancing their existing experience in a supporting Project Management role. As a member of the dynamic ActiveMine Team this position is responsible for providing project management administrative support and control of project related activities in order to provide quality and excellence in the delivery of ActiveMine to our valued clients.

ActiveMine is a comprehensive locating, two-way voice and data communications solution for rugged mining environments. Operating on a 100% wireless Wi-Fi network backbone, the system's unique "mesh" technology enables wireless, real-time electronic tracking of personnel, production and equipment; clear, digital two-way voice communications with each miner; data and mine production applications; and live video.

In this role you will become an integral part of the ActiveMine team as you will take the lead for all office and project related administrative needs for the team. You will be responsible for all aspects of office management including, but not limited to, general office management, project management support, general correspondence, creation and distribution of meeting minutes, booking internal/external meetings and travel arrangements and assisting with completion of expense reimbursement reports.

Job Responsibilities

  • Works with internal and external parties to organize the various components needed to initiate, run and conclude projects.
  • Helps build project plan and keep it up to date so that at all times the plan reflects actual approved projects and their timelines.
  • Ensures resource (staffing) plan, work plan, and schedule for each phase of project are documented.
  • Organizes and coordinates project team meetings. Assists project manager(s) on a day to day basis.
  • Prepares weekly project reports on status (schedule, budget, resources, and milestones) of each project phase.
  • Ensures that all issues and change requests are documented and approved within the assigned time period.
  • Record customer feedback to follow-up on concerns, escalating issues to management as required.
  • Ensures the conditions of customer satisfaction (measurement) are established and evaluated with the customer in the assigned period.
  • Other duties as required.

Skills and Experience

  • Minimum 2 years experience in project coordination or lead role/function supporting an experienced project manager.
  • Ability to organize workflow in order to accomplish multiple and changing priorities within specified timeframes; ability to tap into available resources, show attention to details; keep accurate records, and work under pressure.
  • Excellent communication skills (verbal and written); able to communicate verbally and in one on one or group situations, or over the telephone.
  • Knowledge of approaches, tools, and techniques for gaining the cooperation and support of others.
  • Ability to impact decisions within and outside own organization.
  • Ability to establish and build healthy working relations and partnerships with clients, vendors and peers.
  • Knowledge of and experience with tools including MS Project, Excel, Word etc and techniques for planning, organizing, monitoring and controlling technology projects.
  • Demonstrated use of project management methodologies to complete a project on time and on budget.
  • Ability to work in a very fast paced environment. 

The position is full-time with compensation commensurate with experience in the 35 to 45k range including a comprehensive benefits plan.
